If in our sole judgment you fail, or we suspect that you have failed, to comply with any term or provision of these Terms of Service, we also may terminate this agreement at any time without notice and you will remain liable for all amounts due up to and including the date of termination; and/or accordingly may deny you access to our Services (or any part thereof).

Event Decor Hire & Styling – Terms & Conditions

These Terms and Conditions apply to all bookings made with Shaadi Superstore Ltd ("Shaadi Superstore", "we", "us" or "our") for the hire, supply, delivery, installation, styling and/or collection of event decor, props, furniture, florals and related services.

By making a booking with us, the client ("you" or "the client") agrees to be bound by these Terms and Conditions.

1. Booking & Confirmation

1.1 A booking is considered provisional until we have received the required payment and written confirmation has been provided by Shaadi Superstore.

1.2 A booking is only confirmed once the agreed booking payment has been received and the booking has been accepted by Shaadi Superstore.

1.3 For standard bookings, a non-refundable deposit may be required to secure the date. The deposit amount and payment schedule will be confirmed in the booking quotation or invoice.

1.4 For bookings made at short notice, particularly where the event is within 28 days of the booking date, Shaadi Superstore may require full payment at the time of booking.

1.5 Where specialist, bespoke, personalised, perishable or non-returnable items need to be ordered specifically for your event, full payment may be required before such items are ordered.

1.6 Payment of a deposit or full balance constitutes acceptance of the quotation, agreed scope of services and these Terms and Conditions.

1.7 Your booking is for the date, time, venue and services specified in your booking confirmation. Any changes must be agreed in writing by Shaadi Superstore.


2. Quotations & Pricing

2.1 All quotations are based on the requirements and information provided by the client at the time of enquiry.

2.2 Quotations are valid for the period stated on the quotation. If no validity period is specified, quotations are valid for 14 days.

2.3 A quotation may be subject to change if the client changes the event date, venue, guest numbers, access arrangements, timings, design requirements or scope of work.

2.4 Any additional items, services, travel, labour, delivery, collection, waiting time or changes requested after the quotation has been accepted may incur additional charges.

2.5 Additional charges will be communicated to the client for approval where reasonably practicable before the additional work or service is provided.

2.6 Prices may be subject to change where supplier costs increase significantly between quotation and booking confirmation. Once a booking has been confirmed and paid for, the agreed price will generally remain fixed unless the client requests changes or additional services.


3. Payment

3.1 Payment must be made in accordance with the payment schedule provided in the quotation or invoice.

3.2 The final balance is normally due no later than 28 days before the event date unless otherwise agreed in writing.

3.3 For bookings made within 28 days of the event date, full payment may be required immediately to secure the booking.

3.4 If payment is not received by the agreed deadline, Shaadi Superstore reserves the right to suspend work or cancel the booking, subject to applicable consumer rights.

3.5 Where payment is overdue, Shaadi Superstore may be unable to proceed with ordering, preparation, delivery or installation until payment has been received.

3.6 Shaadi Superstore is not responsible for any resulting delay or inability to provide services where the client has failed to make payment by the agreed deadline.


4. Cancellation by the Client

4.1 The client may cancel a booking by notifying Shaadi Superstore in writing.

4.2 Cancellation charges will be assessed based on the time remaining before the event, the services already provided, and the costs and commitments incurred by Shaadi Superstore in preparing for the booking.

4.3 The following cancellation structure applies unless alternative written terms have been agreed:

  • More than 28 days before the event: The deposit will normally be retained to cover administration, date reservation and costs already incurred. Any additional refundable balance will be considered on a case-by-case basis.
  • 28 to 15 days before the event: Up to 50% of the total booking value may be retained, together with any non-refundable or non-recoverable costs already incurred.
  • 14 to 8 days before the event: Up to 75% of the total booking value may be retained, together with any non-refundable or non-recoverable costs already incurred.
  • 7 days or less before the event: Up to 100% of the total booking value may be retained where Shaadi Superstore has incurred significant costs, committed staff, hired vehicles, ordered specialist or perishable items, or is unable to reasonably rebook the date.

4.4 Cancellation charges will not exceed the reasonable loss suffered by Shaadi Superstore, taking into account any costs saved or amounts recovered as a result of the cancellation.

4.5 Where possible, Shaadi Superstore will take reasonable steps to minimise losses arising from cancellation.

4.6 Costs that may be incurred as a result of a cancellation include, but are not limited to:

  • Specialist or bespoke items ordered specifically for the event
  • Fresh or perishable florals
  • Personalised or printed items
  • Supplier charges
  • Non-refundable deposits
  • Vehicle hire
  • Delivery and collection costs
  • Travel expenses
  • Labour and staffing costs
  • Preparation and design time
  • Items that cannot reasonably be resold or reused
  • Other direct, reasonable and non-recoverable costs

4.7 If the client cancels after Shaadi Superstore has commenced preparation, purchasing, sourcing, production or installation, the client may remain liable for reasonable costs already incurred.


5. Changes to a Booking

5.1 Any requested changes to the event date, venue, design, items, quantities, timings or services must be agreed in writing.

5.2 Changes may result in additional charges.

5.3 We will endeavour to accommodate reasonable changes where possible but cannot guarantee availability of replacement items, staff, suppliers or equipment.

5.4 If the client requests a change that results in a reduction in the scope of services after the booking has been confirmed, this will not automatically entitle the client to a refund or reduction in price.

5.5 This is because costs may already have been incurred and resources may have been allocated specifically to the booking.


6. Event Date Changes & Postponements

6.1 Requests to postpone or change the event date will be considered subject to availability.

6.2 A date change is not confirmed until agreed in writing by Shaadi Superstore.

6.3 If the new date is unavailable, the change may be treated as a cancellation of the original booking.

6.4 Where a date change is agreed, additional costs may apply, including supplier, travel, staffing or storage costs.

6.5 Where a postponement is requested due to circumstances outside the client's control, Shaadi Superstore will seek to work reasonably with the client to find an alternative date where possible, subject to availability and any unavoidable costs incurred.


7. Weather & Outdoor Events

7.1 The client is responsible for informing Shaadi Superstore if any part of the event is taking place outdoors.

7.2 Outdoor bookings are subject to weather conditions and the client acknowledges that weather may affect the appearance, positioning or suitability of certain decor items.

7.3 Unless otherwise agreed, the client is responsible for ensuring that suitable sheltered or covered areas are available where required to protect decor from adverse weather.

7.4 In normal or light adverse weather, including light rain, the booking will proceed where it remains reasonably safe and practical for Shaadi Superstore to carry out the agreed services.

7.5 Shaadi Superstore reserves the right to make reasonable adjustments to the design, placement or installation of decor where required due to weather conditions or safety considerations.

7.6 In severe or dangerous weather conditions, Shaadi Superstore may postpone, delay, relocate, modify or cancel the installation or de-rig where, in our reasonable judgement, it would be unsafe for our team, the client, guests or equipment to proceed.

7.7 Where possible, we will work with the client to identify a reasonable alternative, such as relocating decor to a suitable covered or sheltered area.

7.8 If the client chooses to cancel an outdoor booking due to weather when Shaadi Superstore remains willing and able to provide the agreed services, the cancellation will be treated as a client cancellation and the cancellation terms in Section 4 will apply.

7.9 Shaadi Superstore will not be responsible for damage to decor caused by weather where reasonable precautions and agreed measures have been taken.


8. Access, Venue & Installation Conditions

8.1 The client is responsible for ensuring that Shaadi Superstore has suitable and timely access to the venue for delivery, installation and collection.

8.2 The client must provide accurate information regarding:

  • Venue address
  • Parking and loading arrangements
  • Access restrictions
  • Stairs, lifts and corridors
  • Distance from vehicle to installation area
  • Loading bays
  • Security requirements
  • Venue access times
  • Any restrictions imposed by the venue

8.3 Additional charges may apply where access is significantly more difficult than described at the time of booking.

8.4 Additional waiting time caused by delayed access, venue restrictions, other suppliers, guests or circumstances outside Shaadi Superstore's control may incur additional charges.

8.5 The client is responsible for obtaining any necessary venue permissions and ensuring that the proposed installation is permitted.

8.6 Shaadi Superstore reserves the right to refuse or modify an installation if the proposed location is unsafe or unsuitable.


9. Installation & Styling

9.1 Shaadi Superstore will provide the agreed decor and styling services as described in the booking confirmation.

9.2 Images provided during the design or quotation process are intended as inspiration and may not be reproduced exactly.

9.3 Floral colours, flower varieties, foliage, fabrics and other materials may vary due to supplier availability, seasonality and natural variation.

9.4 Where a specific item is unavailable, Shaadi Superstore may substitute it with an item of similar style, quality and value.

9.5 Reasonable creative discretion may be used to achieve the overall agreed design concept.

9.6 Where the client requests significant changes to the agreed design on the day of the event, these may not be possible and may incur additional charges.


10. Hire Items

10.1 All hired items remain the property of Shaadi Superstore or the relevant hire supplier at all times.

10.2 Hire items must be used only for their intended purpose.

10.3 The client is responsible for taking reasonable care of all hired items during the hire period.

10.4 The client must not move, alter, dismantle or relocate installed decor or hired items unless agreed in advance.

10.5 The client may be charged for repair or replacement costs where items are damaged, lost or destroyed due to misuse, negligence or failure to take reasonable care.

10.6 Where items are damaged, lost or missing at the time of collection or return, the client may be responsible for reasonable repair or replacement costs.

10.7 Normal wear and tear will not be charged to the client.


11. Delivery, Collection & De-Rig

11.1 Delivery, installation, collection and de-rig services are only included where specifically stated in the booking confirmation.

11.2 Collection and de-rig times will be agreed in advance.

11.3 The client is responsible for ensuring that the venue remains accessible at the agreed collection and de-rig time.

11.4 If the venue is inaccessible or the client is not available at the agreed collection time, additional charges may apply for waiting time, additional visits or storage.

11.5 Where a client requests a change to the agreed collection or de-rig time, this is subject to availability and may incur additional charges.

11.6 The client must not dispose of, move or dismantle hired items unless expressly authorised to do so.


12. Damage, Loss & Breakages

12.1 The client is responsible for hired items from the time they are delivered or installed until they are collected or returned to Shaadi Superstore.

12.2 The client may be liable for reasonable repair or replacement costs arising from loss or damage caused by the client, guests, venue staff or other suppliers.

12.3 Where the client is responsible for the venue or event space, they should ensure that guests and other suppliers do not interfere with installed decor.

12.4 Shaadi Superstore recommends that appropriate event insurance is obtained where necessary.


13. Client Responsibilities

The client agrees to:

  • Provide accurate event and venue information
  • Provide suitable access at agreed times
  • Obtain required permissions from the venue
  • Inform Shaadi Superstore of relevant restrictions
  • Ensure the installation area is safe and suitable
  • Ensure other suppliers do not obstruct installation or de-rig
  • Take reasonable care of hired items
  • Not move or dismantle decor without permission
  • Notify Shaadi Superstore of any relevant changes as soon as possible

14. Health & Safety

14.1 Shaadi Superstore will take reasonable steps to carry out installations safely and professionally.

14.2 We reserve the right to refuse or modify any installation that presents a health and safety risk.

14.3 This may include unsafe structures, unstable surfaces, unsuitable fixing points, extreme weather, restricted access or other hazards.

14.4 Where an installation cannot safely be completed as originally planned, Shaadi Superstore will, where reasonably possible, discuss alternative arrangements with the client.

14.5 No refund will automatically be due where changes are necessary for safety reasons and the agreed service can reasonably be provided in an alternative form.

15. Damage to Venue or Property

15.1 Shaadi Superstore will take reasonable care when installing and removing decor.

15.2 The client acknowledges that some installations may require appropriate fixing methods or temporary attachment to surfaces.

15.3 The client is responsible for informing Shaadi Superstore of any restrictions regarding fixing, drilling, stapling, adhesive or other installation methods before work begins.

15.4 Shaadi Superstore will not be responsible for pre-existing damage, defective surfaces or damage resulting from venue conditions that were not disclosed to us.

15.5 Where the client or venue prohibits the installation method required to safely achieve the agreed design, Shaadi Superstore may modify the design accordingly.


16. Force Majeure & Circumstances Outside Our Control

16.1 Shaadi Superstore will not be liable for failure or delay in performing services where this is caused by circumstances beyond our reasonable control.

16.2 Such circumstances may include, but are not limited to:

  • Severe weather
  • Flooding
  • Fire
  • Natural disasters
  • Road closures
  • Major traffic disruption
  • Government restrictions
  • Industrial action
  • Serious illness
  • Accidents
  • Venue closure
  • Supplier failure
  • Significant transport disruption
  • Other events outside our reasonable control

16.3 Where such circumstances occur, Shaadi Superstore will take reasonable steps to minimise disruption and, where possible, offer a reasonable alternative.

16.4 If it is not reasonably possible to provide the agreed service, the parties will discuss an appropriate resolution taking into account the circumstances and costs already incurred.


17. Photography & Marketing

17.1 Shaadi Superstore may photograph completed installations for portfolio, website and social media purposes.

17.2 Where identifiable images of guests or private individuals are involved, we will seek appropriate consent before using such images for marketing purposes.

17.3 Clients who do not wish their event decor to be photographed for marketing purposes should notify Shaadi Superstore in writing before the event.


18. Complaints

18.1 We aim to provide a high standard of service.

18.2 If you have a concern regarding our services, please contact us as soon as reasonably possible.

18.3 Where possible, concerns relating to installation or styling should be raised during the event or immediately after installation so that we have an opportunity to resolve the issue.

18.4 Complaints should be submitted in writing within 7 days of the event.

18.5 We will review complaints fairly and respond within a reasonable timeframe.


19. Liability

19.1 Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so.

19.2 Shaadi Superstore will not be responsible for losses caused by circumstances outside our reasonable control.

19.3 Shaadi Superstore will not be responsible for indirect or consequential losses that are not reasonably foreseeable.

19.4 Nothing in these Terms affects the client's statutory rights under UK consumer law.


20. Privacy

20.1 Personal information provided by the client will be handled in accordance with Shaadi Superstore's Privacy Policy.

20.2 Personal information will only be used for legitimate business purposes, including processing bookings, communicating with clients, arranging suppliers and delivering services.


21. Governing Law

21.1 These Terms and Conditions are governed by the laws of England and Wales.

21.2 Any disputes will be subject to the jurisdiction of the courts of England and Wales, subject to the client's statutory consumer rights.
